Before you send it

  1. Find the renewal clause and the notice window. Commercial waste agreements often run three to five years and renew automatically for another term as long as the first. Many accept notice only inside a window, for example no more than 180 and no less than 90 days before the term ends, and only by certified mail. Notice sent too early may not count. The notice deadline calculator handles both ends of the window.
  2. Know the cost of leaving early. Many agreements charge an early termination fee or liquidated damages, sometimes several months of charges, if service ends before the term does. Ending at the end of the term generally avoids it; this letter is for that.
  3. Read changes before you sign them. Some agreements say that signing a change while the agreement is running, such as a new container size or pickup schedule, starts a new term. Check what a change form says before signing it.
  4. Line up the next hauler. Some cities and counties require businesses to use a franchised or licensed hauler. Check the local rules, and schedule the new service so pickups don’t stop.
  5. Keep proof. Send the letter the way the agreement requires, keep the receipt, and photograph the empty enclosure after the containers are removed.

Common questions

How do I cancel a commercial dumpster or waste contract?

Give written notice of non-renewal inside the notice window in the agreement, sent the way its notice clause requires, which is often certified mail. Service then runs to the end of the current term. Ending earlier usually means an early termination fee, unless the agreement says otherwise.

What if I sent my notice too early?

If the agreement only accepts notice within a window, a letter sent before the window opens may not count. Check the window, and send the notice again once it opens if you need to.

When do I have to send a non-renewal letter?

By the notice deadline in your contract, which is usually a set number of days or months before the current term ends. Use the free notice deadline calculator to find the date, and allow time for delivery if the contract counts notice from when it is received.

How should I send it?

The way your contract’s notice clause requires. Many require certified mail, overnight courier or hand delivery, and some do not accept email. Keep the receipt or tracking record as proof of when the notice went out and when it arrived.

What if they don’t acknowledge the letter?

Follow up in writing and keep a copy. A missing acknowledgment does not by itself make your notice ineffective, but proof of delivery matters if the other side later says it never arrived.
